Certificates and records of results

RTOPilot can automatically issue certificates when a student completes a course, and gives students and third parties a way to view and verify them. This article explains how certificates are issued and where the date of issue appears.

How certificates are issued

Certificates are set up on each course under Enrolment Settings. You choose one or more certificate templates for two outcomes:

• Competent Certificate Template(s) — issued automatically when you mark a student as Competent.

• Non-Competent Certificate Template(s) — issued automatically when a student's outcome is anything other than Competent.

Certificate types include a Statement of Attainment, Statement of Attendance, Verification of Competency, Record of Results and, for qualifications, a Testamur. You can also add Certificate Notes that appear beneath the list of units on issued certificates.

Program certificates

When a VET course is linked to a Program (a full qualification), RTOPilot recognises it as a program and issues a Testamur as the accredited certificate rather than a Statement of Attainment. A Record of Results can accompany this to list the units and outcomes achieved.

Records of results and the date of issue

A Record of Results lists each unit and its outcome. On the student's Certificates page, each certificate shows the Certificate Type(s), the Certificate Status, and when it was Issued, along with every unit and its result. Students can download their certificates from this page.

Verifying a certificate

Anyone can confirm a certificate is genuine on the public Certificate Verification page.

1. Enter the Certificate Number and the Recipient Full Name exactly as they appear on the certificate, then select Verify. You can also scan the QR code on the certificate.

2. Once verified, the details are shown, including the Certificate Number, Student Name, Date of Issue, issuing organisation and RTO number, and the units of competency.

A note on deferred certificates

Some certificates are held until an action is complete — for example, Deferred Awaiting USI until the student provides their USI, or Awaiting Invoice Payment. These become downloadable once the outstanding item is resolved.
